How to Choose a Sustainable Gifting Company in India: A 9-Point Checklist

How to Choose a Sustainable Gifting Company in India: A 9-Point Checklist

Every year around this time, someone in HR, admin or procurement is handed the same brief: "Find us a sustainable gifting company in India, get three quotes, and make sure it isn't greenwashing." The trouble is that almost every supplier now calls itself eco-friendly, and the listicles ranking them rarely tell you how to judge one. This guide gives you a practical, nine-point checklist for choosing a sustainable gifting company in India, covering certifications, materials, customisation, MOQ, delivery and GST invoicing, plus the exact questions to send before you sign off on a purchase order.

Why the vendor matters as much as the gift

A bamboo pen from a supplier who can't tell you where the bamboo came from isn't much of a sustainability story. When you choose a gifting partner, you're really choosing whose claims your company will repeat to employees and clients, often in an internal mailer or a CSR note.

That has become more important since October 2024, when India's Central Consumer Protection Authority issued the Guidelines for Prevention and Regulation of Greenwashing or Misleading Environmental Claims, 2024. In short, words like "sustainable", "natural" or "eco-friendly" are expected to come with a clear qualifier and credible evidence, such as third-party certification. A good vendor will already work this way. A weak one will get vague the moment you ask.

The 9-point checklist for choosing a sustainable gifting company

1. Certifications you can actually verify

Ask which standard each "recycled" or "sustainable" claim is certified against, and for the certificate itself. For paper products, the two you'll see most often are:

  • Global Recycled Standard (GRS), run by Textile Exchange, which verifies recycled content through the supply chain.
  • FSC, for responsibly sourced or recycled fibre. Any FSC certificate code can be checked on the FSC public certificate search.

A certificate name on a website is a start. A certificate you can match to the supplier's name is better.

2. Specific material details, not adjectives

"Made from eco-friendly materials" tells you nothing. Look for specifics: paper weight in GSM, whether the paper is bleached, what the pencil is made from, what the cover is made of. Specific answers are a good sign that the supplier knows its own product.

3. Packaging that matches the product story

A recycled-paper notebook shrink-wrapped in plastic and padded with thermocol undoes much of the point. Ask what the gift ships in, both the individual packaging and the outer carton for bulk deliveries.

4. Customisation, proofs and turnaround

Check what can be branded (cover, inside page, packaging), in what format the supplier needs your logo, and whether you'll see a proof before production. Ask how much time customisation adds, because branded orders always take longer than stock items.

5. MOQ and flexibility

Minimum order quantities vary widely. Some suppliers have a fixed MOQ per design; others quote case by case. If you're gifting a small team of 25 alongside a client list of 300, ask whether you can mix products or designs within one order.

6. Delivery: timelines, locations and costs

For pan-India teams, confirm whether the supplier can ship to multiple office addresses or individual homes, and whether freight is included in the quote or billed separately. Get a dispatch date in writing against your gifting date, with some buffer before Diwali or year-end.

7. GST registration and invoicing

For corporate purchases, you'll want a proper tax invoice with the supplier's GSTIN. You can check any GSTIN on the GST portal's Search Taxpayer tool before raising a PO. Also loop in your finance team early: GST rules on input tax credit for gifts, and on gifts to employees, have their own conditions, so it's worth confirming how your company books these with your CA.

8. Samples before scale

Any supplier worth working with should be willing to send a sample, or at least clear photos and a proof, before you commit to hundreds of units. Feel the paper. Write on it with the pen you'll actually gift.

9. A real, reachable team

A published business address, a GSTIN, a working email and a named person handling your order matter more than a polished deck. Corporate gifting often needs last-minute changes, and you want someone who replies.

Quick-reference table: questions to send every shortlisted vendor

What to check Question to ask Green flag Red flag
Certification "Which standard is this certified against? Can you share the certificate?" Names GRS/FSC and shares proof "It's all natural" with no document
Materials "What exactly is this made from?" GSM, fibre, bleaching details Only adjectives
Packaging "How is each gift packed and shipped?" Paper or plastic-free packing Plastic wrap and thermocol
Customisation "Will we see a proof before production?" Proof shared by email "Trust us, it'll look great"
MOQ "What's the minimum, and can we mix designs?" Clear answer, some flexibility Changing numbers in each email
Delivery "Is shipping included? What's the dispatch date?" Written timeline, freight stated Freight added after approval
GST "Can you share your GSTIN and issue a tax invoice?" GSTIN that checks out on the portal Cash-only or no invoice

Greenwashing signs to watch for

  • Blanket claims. "100% eco-friendly" across an entire catalogue of very different products.
  • Leaf logos instead of labels. Green imagery with no named standard behind it.
  • The wrong part is sustainable. A recycled-paper sleeve around a plastic gadget, sold as a "green gift".
  • Numbers without sources. "Saves 10 trees per order" with no method behind the figure.

The CCPA guidelines ask brands to specify which part of a product a claim refers to: the goods, the manufacturing process or the packaging. That's a useful habit for buyers too. Ask "which part?" whenever you see the word sustainable.

How Lamhenow measures up on this checklist

We'd rather show our answers than claim a title, so here's how we'd respond to your vendor questionnaire:

  • Paper: our notebooks, notepads, journals and planners use recycled paper that is Global Recycled Standard certified and non-bleached. Most of the range is 80 GSM.
  • Branding with a proof: the Custom B6 hard-cover notebook (192 pages of 100 GSM recycled paper, ₹499) and its soft-cover sibling (96 pages, ₹299) take a name, a short line or your own PDF artwork, and we email a proof before we make it.
  • Beyond notebooks: our newspaper pencils are rolled from waste newspaper instead of wood and come in plastic-free packaging, which makes them an easy add-on for a welcome kit.
  • Regional touches: for teams spread across cities, the City Love collection has notepads for Bengaluru, Mumbai, Hyderabad, Goa and more.
  • GST and contact: we're a GST-registered business based in Bengaluru, with our GSTIN and address published on our contact page.
  • Shipping: free shipping on every order, with no minimum order value.

We don't publish a fixed MOQ. Quantities, customisation and timelines are worked out with you over email. If you're comparing paper-based gifts specifically, our buyer's guide to eco-friendly notebooks for corporate gifting covers paper weight, binding and per-unit budgets in more detail.

Frequently asked questions

What should I look for in a sustainable gifting company in India?

Look for verifiable certifications such as GRS or FSC, specific material details, low-plastic packaging, a proof before production, clear MOQ and delivery terms, and a valid GSTIN with proper tax invoices. Vendors who answer these questions plainly and in writing are usually the ones whose sustainability claims hold up.

How can I check if a gifting vendor's eco-friendly claims are genuine?

Ask which standard a claim is certified against and request the certificate. FSC codes can be checked on FSC's public database, and GRS claims should come with certification documents. Be wary of leaf logos, blanket "100% eco-friendly" statements and impact numbers that come with no explanation of how they were calculated.

Is there a minimum order quantity for sustainable corporate gifts?

It depends on the supplier and the level of customisation. Stock items often have low or no minimums, while printed or custom-made gifts usually need a larger run. Always ask whether you can mix designs within one order, which helps when gifting several teams or offices at once.

How early should we order corporate gifts for Diwali?

For customised gifts, start shortlisting vendors at least four to six weeks before your gifting date. That leaves time for samples, proof approvals, production and pan-India delivery. Stock items can move faster, but couriers get busy in the run-up to Diwali, so build in a buffer.

Do corporate gift orders come with a GST invoice?

A GST-registered supplier should issue a tax invoice showing its GSTIN, which you can check on the GST portal. How your company treats GST on gifts, including input tax credit, depends on the purpose and recipient, so confirm the accounting treatment with your finance team or CA before ordering.
